Questions before accepting a study invitation

A practical invitation checklist covering confirmation, preparation, scheduling, recordings, incentive terms and the provider’s contact route.

Confirm what the invitation means

Start by identifying the action the provider is asking you to take. Is it a further screener, a request to choose an appointment, or confirmation of a booked session? Read the message as written. Do not assume that an invitation to provide availability guarantees a place or that a calendar hold completes every confirmation step.

Ask what remains to be confirmed, who will confirm it and whether a reply is needed by a particular time. Keep the study reference and the official contact route. The screener guide explains the distinction between applying and participating; the provider's message determines your actual next step.

Check the whole time commitment

Note the appointment date, start time, time zone and expected end time. Add any setup, travel, preparation or follow-up named in the invitation. A one-hour conversation can sit within a larger activity, such as a diary or a preparation task. Ask about missing time estimates rather than assuming the headline duration covers everything.

Example: an invitation names a video interview and also asks for a short task beforehand. Your checklist should include both activities and their deadlines. This is a planning example, not a standard requirement. If the full commitment does not fit your schedule, tell the provider before accepting or ask whether another appointment is available.

Clarify the activity and setup

Confirm which device and connection are needed, whether you will speak with a researcher or a group, and whether you need to prepare anything. Ask what will be recorded and where the participation information explains it. If you need an accommodation, raise that with the provider early enough to understand the available options.

Keep software installation as a separate decision. Read what to check before installing research software when an app or extension is requested. Avoid sending personal documents or confidential work merely because a preparation instruction is vague. Ask what is needed and why, then decide whether you can provide it appropriately.

Read the incentive terms as written

Identify the advertised amount, currency, payment method, required activities and stated payment timing. Ask whether the invitation describes conditions that were not clear in the original listing. A gift card, points and a cash payment are different forms of compensation; use the payout guide as a reading aid.

Put not provided beside any missing term in your notes. Do not import a timeline or payment rule from a different platform. The provider determines its participation and incentive terms. Scoutela membership and a profile match do not confirm selection or payment, and accepting an invitation does not remove the need to complete the provider's agreed requirements.

Use a compact confirmation checklist

Sample checklist: place confirmed or provisional; reply required; appointment and time zone; preparation and follow-up; device and software; recording information; accommodation questions; incentive terms; cancellation route; provider contact. You do not need to send a long questionnaire when the invitation already answers these points. Ask only about the gaps that affect your decision.

Sample message: Thank you for the invitation. Before I confirm, could you clarify whether my place is booked, whether the preparation task is included in the stated duration, and the expected incentive timing? Adapt the questions to the actual message. Keep your reply factual and avoid copying confidential screener content.

Accept clearly and keep a useful record

Once the relevant details are clear, use the provider's requested confirmation method. Add the agreed appointment to your calendar with its time zone and contact route. If you later cannot attend, follow the provider's cancellation or rescheduling instructions rather than leaving an unexplained absence.

Keep a small research record that separates application, provider confirmation, participation and incentive receipt. Your own note is useful organization, not proof of a provider outcome. Return to the participant toolkit for preparation and follow-up resources. The provider runs the study and handles selection, scheduling and incentive payment.

Common questions

Does an invitation guarantee a study place?

Read the exact message. Some invitations still require screening, scheduling or confirmation from the provider.

Should I accept if payment timing is missing?

Ask the provider to clarify the term if it matters to your decision. Do not assume another platform's policy applies.
